Job Overview
The Reservations and Customer Service Coordinator will be responsible for handling hotel and room reservations, managing relationships with accommodation suppliers, selling and administering group bookings, and providing excellent customer service. The successful candidate will be highly organised, have strong communication skills, and be comfortable liaising with both customers and colleagues.
Key Responsibilities
Reservations & Customer Service

* Manage hotel and room reservations for walking holiday packages.
* Communicate with accommodation suppliers to confirm bookings, negotiate rates, and resolve any issues.
* Assist customers with inquiries, bookings, and itinerary adjustments.
* Ensure accurate record-keeping of reservations and customer details.
* Provide outstanding customer service via phone, email, and online chat.
* Collaborate with internal teams to ensure the smooth operation of holiday packages.
* Handle any last-minute changes or problems related to bookings and accommodations.
* Maintain up-to-date knowledge of accommodation options and walking holiday routes.

Selling & Administering Group Reservations

* Promote and sell group walking holidays to clubs, corporate clients, and other organisations.
* Coordinate group bookings, ensuring smooth logistics and efficient communication with group leaders.
* Work with suppliers to secure group rates and special requests for larger bookings.
* Manage group payment schedules, deposits, and balance payments.
* Provide dedicated support for group leaders, assisting with itinerary planning, travel details, and special requirements.
* Monitor and track group booking deadlines, ensuring timely confirmations and updates.
* Assist with marketing initiatives aimed at attracting group bookings, including email campaigns and promotional materials.

Skills & Experience Required

* Experience in hotel reservations, travel booking, or customer service.
* Strong organisational skills and keen attention to detail.
* Excellent verbal and written communication skills.
* Ability to manage multiple tasks and prioritise workload effectively.
* Proficiency in reservation systems and customer management tools (or willingness to learn).
* Experience in handling group reservations and logistics is a plus.
* Sales experience or a strong ability to promote travel packages is desirable.
* Problem-solving skills and the ability to handle customer queries professionally.
* A passion for travel and walking holidays is a plus.
