Job Description:

We are seeking a detail-oriented and proactive Office Administrator to join our team. The successful candidate will play a crucial role in ensuring the smooth operation of our office, supporting our agents, and delivering excellent customer service to our clients. This role is ideal for someone who thrives in a dynamic environment and enjoys a variety of administrative tasks.

Key Responsibilities:

  • Front Office Management: Greet clients and visitors, manage phone calls, and handle general inquiries.
  • Administrative Support: Provide comprehensive administrative support to the team, including scheduling appointments, managing calendars, and maintaining office supplies.
  • Document Management: Prepare and manage documents, reports, and correspondence, ensuring accuracy and timely distribution.
  • Data Entry: Maintain and update client databases and property listings with accurate information.
  • Client Coordination: Assist with vendor and purchaser communications, including scheduling viewings, responding to enquiries, and following up on client requests.
  • Office Organization: Ensure the office is well-organized, tidy, and functions efficiently, including managing filing systems and archiving documents.
  • Marketing Support: Assist with the preparation of marketing materials such as reviewing brochures and ordering sale boards.

Qualifications and Skills:

  • Experience: Previous experience in an administrative or office management role is preferred.
  • Communication Skills: Excellent verbal and written communication skills, with a professional and courteous demeanor.
  • Organizational Skills: Strong organizational skills with the ability to multitask and prioritize effectively.
  • Computer Literacy: Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning new software systems.
  • Attention to Detail: High level of accuracy and attention to detail in all tasks.
  • Team Player: Ability to work effectively both independently and as part of a team.
  • Proactive Approach: A proactive and self-motivated approach to work, with the ability to anticipate needs and solve problems efficiently.

Working Hours: 9:30 AM – 5:30 PM, Monday to Friday

Salary €32k DOE
